AshOS Customs is operated by Ashley Brown, a sole trader. This notice explains how personal information is handled when you contact us, submit shipment information or use our commercial invoice preparation service.

Who is responsible for your information

Information we collect

We may collect business and contact details, names, email addresses, telephone numbers, billing information, exporter and consignee details, delivery addresses, shipment and courier information, importer identifiers, product information, weights, dimensions, values, origin and classification information, notes, sales invoices, packing lists and other supporting documents you choose to provide.

Why we use it

We use this information to assess whether we can provide the service, prepare and review commercial documentation, identify missing information, communicate with you, administer payment and business records, deal with queries or disputes, protect the service from misuse, and meet legal or regulatory obligations.

Lawful bases

Where UK data protection law applies, we generally process information because it is necessary to take steps at your request or perform our contract with you, because we have legitimate interests in operating and protecting the service and keeping appropriate business records, or because we must comply with a legal obligation. We do not rely on consent where another lawful basis is more appropriate.

Service providers and sharing

We do not sell customer personal information. We may share information only where necessary with service providers that help us operate the website, receive form submissions, communicate with customers, process payments or provide the service, and with professional advisers, carriers, authorities or other recipients where you instruct us, where it is necessary for the service, or where law requires it. Website submissions are currently handled using Netlify Forms, so information and uploaded documents submitted through the website are processed through Netlify's systems.

International processing

Some technology providers may process information outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we expect the relevant provider or transfer arrangement to use an approved legal mechanism or other lawful safeguard.

How long we keep information

We keep information only for as long as reasonably necessary for the purpose for which it was collected. Working copies of customer shipment documents are normally deleted when they are no longer needed for the service, support or a reasonable period for resolving queries. Records that must be retained for tax, accounting, legal, fraud-prevention or dispute purposes may be kept for the applicable statutory or limitation period. We periodically review information that is no longer required.

Security

We take reasonable technical and organisational measures to protect customer information and restrict access to people and systems that need it. No internet or storage system can be guaranteed completely secure, so please avoid including information that is not needed for the shipment or service.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your personal information, object to certain processing, and receive certain information in a portable form. You can contact us using the email above. You also have the right to complain to the UK Information Commissioner's Office.

Business documents containing other people's information

If you submit documents containing personal information about employees, customers, consignees or other individuals, please provide only information reasonably necessary for the shipment and ensure you are entitled to provide it for this purpose.

Changes to this notice

We may update this notice as the service or our suppliers change. The current version will be published on this page.
